Comparing fit-out proposals is a difficult and daunting task. Do you select on the basis of the people you meet and their company’s reputation, do you go for the best design, the cheapest cost or a combination of all of these factors?
One of the most difficult things is whether you are truly comparing like for like. Are the proposed changes to the HVAC (heating, ventilation and air conditioning) the same? Is the joinery proposal identical? What about the lighting, drywall, glazed partitions, carpets, electrics and tea points?
Perhaps the simplest and most effective way is to develop a score sheet system that can be applied at the final presentation stage. This is an excellent method, but it won’t guarantee that you’re getting the best value for money.
Comparing bids from competing companies is one way to get some level of cost comfort. But the only real way is to seek independent professional advice from a cost consultant or project manager who has relevant fit-out experience.
Your commercial property agent should be able to introduce you to firms that offer this service. However, as previously mentioned do consider whether they are truly impartial.
The fit-out project costs should be presented to you in detail, broken down into separate work packages and then, within those, into their component parts.
There will, of course, always be items that you’ve discussed during the project development stage that you’ve not decided on. These options should be clearly presented to you with detailed costs, so that you can easily calculate the fit-out contract sum.
At the end of day your decision should not be based on price alone. It’s the people you meet and who will manage your project that will really determine the project’s success. Working to get true value for money is generally always better than the lowest price.
