Investigating new ways of working is crucial for any company, whatever their size or business model.
Focusing on the way in which individuals work is significantly reducing organisations exposure to occupying unnecessary real estate and saving hundreds of thousands of pounds, sometimes millions across the term of a lease.
If you stopped to calculate it, there is a good chance that you would be alarmed by the true cost of providing your staff with workspace (proportion of rent, rates or building purchase costs, heating, lighting, fittings, furniture, services etc). It has been estimated that the average cost of a workstation is £8,000 per year.
Add to the cost the fact that many ‘office staff’ actually spend considerable time away from their offices due to advances in technology, it is easy to see why more and more companies are looking at hot-desking in its various guises. Statistics show that the average workstation is only used for 50% of the time.
The concept of hot-desking originates from an old practice of hot racking on warships, where to save valuable space, bunks were shared by sailors who were on different shifts. Today hot-desking applies to the sharing of a desk / seat / workstation arrangement by more than one member of staff and is widely used by companies with a highly mobile workforce. Sometimes there is not even a requirement for a desk at all, just access to Wi-Fi or a data point.
At an advanced level, voice and data will be routed to a specific location where the user can access their own secure business data. Some companies have taken it a step further and have introduced ‘hotelling’, where the employee books a workstation for a particular time slot and checks out, making way for the next employee.
Opportunities for hot-desking and hotelling should be identified during a Workplace Study and will form part of the net usable space calculation that is produced in a Workplace Strategy.
